This Privacy Policy explains how London Golf Courses ("we", "us" and "our") handles personal information when you use LondonGolfCourses.com, contact us, submit a review, suggest or claim a listing, use a coach dashboard, or interact with a Featured Coach campaign. We aim to collect only the information reasonably needed to run and improve the directory, respond to requests, moderate contributions and operate the features described below. This notice should be read alongside our Terms of Service.
1. Information we collect
Information you give us
- Contact enquiries: name, email address and message content; a phone number only if you choose to provide it elsewhere on the Site.
- Reviews: optional display name, optional email address, rating and review text. If no display name is provided, the review is shown as anonymous. Review email addresses are not displayed publicly.
- Venue update requests: contact name, role, work email, phone number, the details or materials you submit, and optional marketing preference.
- Coach claims and new coach applications: applicant name, role, work email, phone number, coach or business details, public contact and booking details, coaching locations, biography, prices, specialisms, confirmation of authority, verification notes, optional profile photograph or image link, and optional marketing preference.
- Coach dashboard: the verified access email associated with an approved claimed profile, campaign requests, selected eligible locations and information entered in profile-update submissions.
- Visitor golf-day planner: name, email, optional mobile number, hotel area or postcode, preferred date and time window, group size, budget, transport and equipment preferences, golf preferences, constraints and campaign attribution. This page is currently a draft enquiry flow and does not take payment.
Information obtained from public sources
We may collect and verify professional or business information for directory listings from publicly available sources, including official venue and coach websites, published booking pages, professional profiles and direct communications from the relevant business or coach. This can include name, role, stated credentials, business contact details, public booking links, teaching locations, published prices and profile content. We identify the relevant source on listing pages where practical. If you believe a listing is inaccurate or should be updated, contact us using the details below.
Information collected automatically
- Security and form controls: short-lived session identifiers and session data needed to protect forms against forgery, maintain a secure dashboard session and apply rate limits. We also create limited hashed connection identifiers for review and claim anti-spam controls. These hashes are not displayed publicly and are not used to identify you directly.
- Directory and site analytics: we use Plausible Analytics for aggregate website measurement and custom event reporting. Our event implementation is designed not to send names, email addresses, phone numbers or postcodes as event properties.
- Featured Coach measurement: when a Featured Coach placement is active, we record its appearance in the browser viewport and related profile, booking, website, telephone or email clicks. The system uses a random in-browser session value and stores a daily hash for deduplication, together with campaign, placement and page information. It does not store the visitor’s name, email address, full IP address or cross-site browsing history for this reporting.
- Server and security logs: our hosting and email systems may create technical logs such as IP address, device or browser information, request time, requested page and error information for security, troubleshooting and service operation.

3. Reviews and public information
Approved reviews are public. Your chosen display name, rating and review text may therefore be visible to anyone. Do not include personal information about yourself or another person that you do not want to make public. If you ask us to remove a review, we will assess the request in line with applicable law, our Terms and the circumstances. We may retain a limited copy where necessary to prevent abuse, resolve a dispute or meet a legal obligation.
Coach and venue listing information, including approved contact, booking and profile information, is published as part of the directory. A coach claim or application is reviewed before a change is made public.
4. Who we share information with
We do not sell personal information. We may share information only where necessary with the following categories of recipient:
- Hosting, database and email providers that operate the Site, store its data or deliver service emails on our behalf.
- Analytics provider: Plausible Analytics for aggregate website measurement and custom events.
- Service providers you choose to use: external venue, coach and booking websites when you follow their links. Those providers operate under their own privacy policies.
- Map and location providers: embedded maps and postcode lookup services may receive technical data and the location or postcode you submit to their service. In particular, postcode searches use Postcodes.io to look up location coordinates.
- Payment providers, if a paid checkout is activated: a payment provider such as Stripe will process payment details under its own privacy notice. London Golf Courses will not receive or store full payment-card details.
- Authorities and professional advisers where required by law or reasonably necessary to protect rights, safety, users or the Site.
Some service providers may process information outside the UK. Where required, we will use appropriate transfer safeguards or a recognised adequacy arrangement. You may contact us for information about the safeguards relevant to a particular transfer.
5. Cookies, local storage and similar technologies
We use essential, short-lived session cookies to secure forms, prevent forgery, enforce rate limits and keep an authenticated coach-dashboard session active. These are necessary to provide the feature you have requested.
We use Plausible Analytics for aggregate measurement. Plausible states that its standard analytics service is cookieless. Our Featured Coach measurement uses a random session value held in browser session storage to deduplicate reporting within the browsing session. Embedded third-party content, including maps, and external links may be subject to their providers’ own technologies and policies.
Where we introduce non-essential cookies or similar technologies that require consent, we will provide a suitable consent mechanism before using them. You can also manage cookies through your browser settings, although blocking essential cookies may prevent secure forms or dashboard access from working.
6. Retention
We keep information only for as long as reasonably necessary for the purpose collected, including security, directory operation, responding to you, handling disputes and meeting legal obligations. Our working retention approach is as follows:

7. Your rights
Subject to applicable law, you may have rights to ask for access to your personal information, correction of inaccurate information, deletion, restriction of processing, objection to processing based on legitimate interests, and data portability. Where we rely on consent, you can withdraw it at any time. To exercise a right, contact contact@londongolfcourses.com and tell us what you are requesting. We may need reasonable information to verify your identity and locate the relevant record.

8. Security
We use reasonable organisational and technical measures designed to protect information, including HTTPS, server-side validation, moderated publication workflows, secure form sessions, rate limits and time-limited dashboard links. No internet transmission or storage system is completely secure, so we cannot guarantee absolute security.
9. Children
The Site is not designed to collect personal information from children. Where a parent, guardian or coach provides information about a junior golfer or junior coaching arrangement, they should provide only the minimum information necessary and avoid including unnecessary personal details in public reviews or free-text fields.
10. Changes to this Policy
We may update this Policy as the Site or applicable requirements change. We will publish the revised version here and update the date at the top. Material changes will take effect from publication unless we state otherwise.
